What drives cost up or down

The six factors that move a quote by thousands.

  • System type and refrigerant

    VRV / VRF costs 3 – 4× a comparable multi-split because of inverter compressors, heat-recovery pipework and controls. A2L refrigerants (R32, R454B) are now standard — legacy R410A stock carries a phase-down premium in 2026.

  • Pipework runs and access

Long refrigerant runs, high-level pipework, core drilling through fire compartments and rooftop condenser lifts (crane hire, weekend permits) all add cost. A ground-floor unit with a short run is the cheapest case; a 30 m rooftop run with a night lift is the most expensive.

  • Electrical, condensate and controls

New sub-mains, isolators, RCBOs, condensate pumps and BMS integration are line items that many quotes hide. Expect £1,200 – £4,000 across a small install and £8,000+ on a VRF project.

  • Compliance and paperwork

F-Gas certificated install, TM44 sign-off for combined capacity above 12 kW, Part L build-notice and DEC updates. Not optional — factor 2 – 5% of project value.

  • Brand and warranty tier

Daikin D1+ Premier Partner installs (like AccuTemp's) unlock the 7-year manufacturer warranty. Generic or unbranded kit is 15 – 25% cheaper at supply but reduces resale value, extends payback and typically fails outside warranty inside 8 – 10 years.

  • Landlord Licence for Alterations

Not a hardware cost, but a real one. Landlord surveyor fees, method statements, RAMS and reinstatement bonds add £1,500 – £6,000 to a leased-office install. Start L4A the day the design is signed off.

5-year total cost of ownership

Capex is only part of the number.

SystemInstall (capex)MaintenanceEnergy5-year total
Multi-split (5 x 3.5 kW indoors)£8,500£600 / yr£1,900 / yr£21,000
VRF (single floor, 250 m²)£28,000£1,400 / yr£4,200 / yr£56,000
Cassette suite (4 x cassette)£13,500£800 / yr£2,600 / yr£30,500

Energy figures assume UK non-domestic electricity at 28p/kWh and an average 8-hour working day, five days a week. Actuals vary by tariff, occupancy and set-point.

Frequently asked questions

How much does commercial air conditioning cost in the UK in 2026?
As a 2026 UK market benchmark, expect approximately £1,400 – £2,600 for a single-room split, £2,400 – £4,200 per ceiling cassette, and £20,000 – £38,000 for a single-floor VRF system covering around 250 m². Whole-building VRF projects across 1,000 m² or more start at around £75,000. All figures exclude VAT and are indicative industry ranges for planning only — AccuTemp does not publish a fixed price list and every quotation is issued after a free site survey and heat-load calculation.
How much does commercial AC cost per m²?
Typical UK industry benchmarks for 2026 are £95 – £160 per m² for small offices and retail units, £120 – £280 per m² for mid-size and larger offices, £220 – £360 per m² for restaurants, gyms and other high air-change spaces, and £450 – £900 per m² for data centres with precision cooling. These are planning figures, not AccuTemp quotations.
Is Daikin more expensive than other brands?
Across the industry, Daikin equipment is typically 15 – 25% more expensive at supply than generic brands, but Daikin D1+ Premier Partner installations unlock a 7-year manufacturer warranty and last 15 – 18 years on average versus 8 – 10 years for unbranded kit. Whole-life cost per year is usually lower with Daikin.
What's included in an AccuTemp installation quote?
AccuTemp installations start from £1,400 + VAT and every written quotation is prepared after a free site survey. A typical quote covers heat-load calculation, indoor and outdoor units, refrigerant pipework, drainage, electrical connections up to the local isolator, commissioning, F-Gas paperwork, TM44 sign-off if applicable, and up to 7-year manufacturer warranty. Landlord Licence for Alterations fees are itemised separately. AccuTemp does not publish a fixed price list — figures elsewhere on this page are industry benchmarks for comparison only.
How much does a VRF or VRV system cost?
As an industry benchmark, a single-floor VRF covering 250 m² typically runs £20,000 – £38,000 installed. Whole-building VRV across 1,000 m² or more starts at around £75,000 and can reach £160,000+ for heat-recovery configurations with BMS integration. Pricing is per project after a full heat-load calculation and site survey.
Are there hidden costs I should watch for?
Common hidden costs across the industry are landlord Licence for Alterations fees (£1,500 – £6,000), condenser crane lifts (£800 – £2,500), new electrical sub-mains (£1,200 – £4,000), condensate pumps (£150 – £400 per unit) and BMS integration (£2,000 – £8,000). A proper site survey exposes all of these before contract — AccuTemp itemises every line so nothing appears later.
Can I finance commercial air conditioning?
Yes. AccuTemp offers operating lease and hire-purchase options through third-party finance partners, typically 3 – 7 years. Payments are usually 100% tax-deductible as a business expense. We can quote monthly figures alongside the capital price.
Does the price include ongoing maintenance?
Installation and maintenance are separate. AccuTemp planned maintenance starts from £100 + VAT per visit, with most commercial sites on two visits a year to keep manufacturer warranty valid. Multi-site and higher-use environments like kitchens or server rooms typically run four visits a year.
How much does F-Gas leak-check compliance cost?
F-Gas leak checks are typically bundled into a planned maintenance visit. Standalone leak checks run £120 – £250 per visit across the industry depending on system size and CO₂-equivalent charge, with frequency set by regulation (annual, six-monthly or quarterly).
What ROI can I expect from a new commercial AC install?
Modern A2L systems typically deliver 30 – 45% energy savings versus a legacy R410A or R22 install. On a mid-size office replacing 10-year-old equipment, this usually gives a 5 – 7 year payback on energy alone, before factoring in reduced call-outs, warranty cover and improved EPC rating for MEES compliance.
Do you price-match other quotes?
We benchmark every AccuTemp quotation against current UK trade prices and are transparent about where a competitor's figure is lower — usually it's non-D1+ equipment, shorter warranty, no BMS integration or missing electrical scope. Every AccuTemp quote itemises equipment, electrical scope, controls and commissioning so a fair like-for-like comparison is possible.
