What determines how often a system needs servicing?

Hours of use. A retail system running long opening hours has different demands from an office system operating during a standard working day. The more the system runs, the more important regular checks become.

Number of units. A VRF system with multiple indoor and outdoor units has more components to inspect than a simple split system. More equipment does not automatically mean more visits, but it can mean a broader maintenance plan.

Why twice yearly servicing often makes sense

A planned visit before summer gives your system the best chance of coping when cooling demand increases. Engineers can inspect and clean coils where needed, check controls, test cooling performance and confirm that drainage is working as it should.

A visit before winter is equally useful for systems used for heating. Heating operation places different demands on air conditioning equipment, particularly in colder conditions and during defrost cycles. Checking the heating function, controls and electrical connections before cold weather arrives can help uncover issues before staff or customers notice them.

Routine servicing also gives engineers the opportunity to spot blocked drains, dirty filters, loose electrical connections and poor performance before they become more serious faults.

What should a commercial AC service include?

A competent commercial air conditioning service will usually include visual condition checks of indoor and outdoor units, pipework, insulation and supports; filter inspection or replacement where needed; coil cleaning where needed; condensate drain checks to help prevent blockages and leaks; electrical checks of connections, contactors and safety devices; operating temperature and performance checks; control and timer checks; checks for signs of refrigerant leakage or reduced system performance; and a written service report with findings and recommendations.

The exact scope depends on the equipment, the site conditions and the maintenance agreement in place. A basic filter change is not a full service. Equally, a straightforward split system may not need every task listed above at every visit.

Planned maintenance focuses on keeping equipment clean, efficient and reliable. It covers the components and operating conditions that affect comfort, performance and the risk of failure.

F-Gas obligations relate specifically to refrigerant containment, leak detection and required records. The exact requirements depend on the system and refrigerant charge.

A business may need both. Your maintenance provider should clearly explain what is included in your agreement and which F-Gas obligations apply to the equipment on site. Do not assume a routine service automatically covers F-Gas requirements, or the other way around.

Signs you may need a service sooner

Do not wait for the next planned visit if you notice weak airflow from grilles or indoor units; uneven room temperatures or persistent hot spots; unexpected energy use or rising bills; water leaks or signs of blocked drains; unusual smells from units or ductwork; unusual noises, including rattling, humming or grinding; poor cooling or heating compared with previous performance; or repeated faults, error codes or alarms.

Any of these can point to an issue that needs attention. Leaving it unresolved can lead to greater disruption and more expensive repairs.

What happens if servicing is missed?

Problems often start small.

Dirty filters and coils can reduce efficiency, making the system work harder to produce the same result. Comfort can then suffer as rooms become too warm, too cold or unevenly conditioned.

Minor faults can also become more serious if they are left unchecked. A blocked drain can lead to leaks and water damage. A refrigerant issue can develop into a more expensive repair. Equipment failure during a busy period can create disruption while faults are diagnosed and parts are sourced.
